Privacy Policy

1. Who we are and what this covers
AnswerBuilders is operated by Link Builders LLC ("AnswerBuilders," "we," "us"). This policy explains what personal information we collect through answerbuilders.com, the AnswerBuilders app, our reports, and our outreach and prospecting emails, and how we use and share it.
AnswerBuilders is a business service. Most of what we handle is business information, such as company websites and public web pages. We still treat names, email addresses and other details about people as personal information and protect them as described here.
We do not sell personal information, and we do not share it for cross-context behavioral advertising.
2. Information we collect

|---|---|---|
| Account details | Name, work email, sign-in records, workspace name, agency name, role | You, when you sign up, claim a report or are invited |
| Business and report data | Your website, business description, competitors, questions sent to AI engines, AI answers, cited pages, targets, statuses, notes | You, your website, and AI engines we query |
| Contacts you enter | Names and emails of site contacts you add to targets | You |
| Billing data | Billing name, address, plan, invoices, last 4 digits and expiry of your card | Stripe. We never receive or store full card numbers |
| Usage and device data | Pages viewed, actions in the app, IP address, browser type, error logs | Your browser and our servers |
| Communications | Emails, call bookings, support requests, fee approvals | You |
| Marketing attribution | Campaign tag, claim link or invite link used | Links you click |
| Prospect data (non-customers) | Business name, website, and a business contact's name and work email | Public websites, business directories and contact-data providers |
| Outreach contacts (non-customers) | Name, work email, job title and website of editors and site owners we contact for customers | Public websites and contact-data providers such as Hunter |
| Trial records | A normalized version of each email that received trial credits | Created by us |
Please do not put sensitive personal information, such as health or financial details about individuals, into questions, notes or business descriptions. We do not need it, and it may be sent to AI providers.
3. How we use information
We use personal information to:
- create and secure accounts, send sign-in links and prevent trial abuse;
- run reports, track targets, check pages and show results in dashboards, exports and share links;
- perform outreach that a customer has asked us to do;
- process payments, invoices and placement-fee approvals;
- send service emails, such as report notices, receipts, fee requests and policy updates;
- send marketing emails to businesses, which you can opt out of at any time;
- monitor errors, fix bugs, measure usage and improve the Service; and
- comply with law, enforce our Terms and protect our users and systems.
Where laws such as the GDPR apply, we rely on these legal bases: performing our contract with you; our legitimate interests in running, securing, marketing and improving a business service; your consent where we ask for it; and legal obligations.
4. AI providers
To build a report, we send questions about your business category, your business name, your website and your competitors to third-party AI and search providers. These include OpenAI (ChatGPT), Google (Gemini and AI Overviews), Perplexity, Anthropic (Claude) and xAI (Grok), plus any search-data services we use to reach them. We also use AI models to summarize web pages, suggest competitors and questions, and draft outreach emails.
We use these providers through their business APIs. Under their business terms, they generally do not use API data to train their models. Each provider processes data under its own privacy terms.
5. Who we share information with
We share personal information only as follows:
- Service providers that host and run the Service for us: app hosting and database, email delivery, AI and search providers, contact lookup (such as Hunter), outreach email sending (such as Instantly), web page fetching, error monitoring, scheduling (Calendly) and payments (Stripe). They may use the data only to provide services to us.
- Within your workspace. Workspace owners, members and invited client viewers can see the data their role allows.
- Agencies and their clients. If an agency manages your business, the agency can see your business's report data, and you can see what the agency shares in your client portal.
- Share links. Anyone with a share link can view that report until the link is revoked.
- Website owners we contact. Outreach emails name the customer business we represent.
- Legal and safety. When required by law, or to protect rights, property or safety.
- Business transfers. In a merger, acquisition or sale of assets, subject to this policy.
We do not share contact details found for outreach with customers or agencies.
6. If we emailed you but you are not a customer
You may have heard from us for one of two reasons.
You run a business we wrote to about AnswerBuilders. We found your business and work email on your website or through a business contact-data provider, and we may have run a short AI visibility scan using public information about your business. We use this only to contact you about our service.
You manage a website that AI engines cite. We contacted you on behalf of a customer business, which the email names, to ask about a listing or mention. We found your work contact details on your website or through a contact-data provider such as Hunter.
Every email we send identifies us, includes our postal address and lets you opt out. If you reply asking us to stop, or use the unsubscribe link, we add your email address (and, if you ask, your domain) to a do-not-contact list that applies to every customer we work for. We keep that list entry so we can honor your request in the future.
You can also email justin@answerbuilders.com to ask what we hold about you, or to have it deleted.
7. Cookies
We use cookies and similar browser storage that are needed to keep you signed in, remember your settings, such as Easy or Advanced mode, and keep the app secure. Stripe sets its own cookies on checkout pages to prevent fraud. You can block cookies in your browser, but the app may not work without them.
8. How long we keep information
| Data | How long |
|---|---|
| Account, workspace and report data | While your account is open, then deleted within 90 days of closure, except as listed below |
| Billing and tax records | 7 years, as tax law requires |
| Trial records (normalized email) | As long as we offer free trials, to prevent repeat trials |
| Do-not-contact list | Indefinitely, so we can keep honoring the request |
| Prospect data and unclaimed prospect reports | Up to 24 months after our last contact |
| Outreach contacts and outreach history | While related programs are active, then up to 24 months |
| Server and error logs | Up to 90 days |
Backups may hold data for up to 30 more days before they are overwritten.
9. Security
We use encryption in transit, access controls at the database level, separate admin-only storage for outreach contacts, hashed sign-in and share tokens, and least-privilege access for staff. No system is completely secure. If a breach affects your personal information, we will notify you as the law requires.
10. Where we process data
Our company is based in the United States and our team works from the United States and Colombia. Our providers may process data in the United States and other countries. Where required, we use contract terms, such as the EU Standard Contractual Clauses, to protect data transferred across borders.
11. Your rights
Depending on where you live, you may have the right to know what personal information we hold about you, get a copy, correct it, delete it, object to or restrict certain uses, opt out of marketing, and withdraw consent. This includes rights under US state privacy laws, the GDPR and UK GDPR, and Colombia's Law 1581 of 2012.
To use these rights, email justin@answerbuilders.com. We will verify your request and answer within 30 days, or sooner if your local law requires. You may use an authorized agent. We will not treat you differently for using your rights. If you are not satisfied, you may complain to your local data protection authority.
If an agency manages your business on AnswerBuilders, you may also contact the agency, and we will help it answer your request.
12. Children
The Service is for businesses and is not directed to anyone under 18. We do not knowingly collect information from children. If you believe we have, contact us and we will delete it.
13. Changes to this policy
We may update this policy. We will post the new version here with a new "Last updated" date, and we will email account holders about material changes before they take effect.
